Why the Right Speaker and MC Matter

You can have the perfect venue, seamless production, perfectly curated menu and beautifully designed staging but if your event speakers miss the mark, that is what your audience will remember for a long time to come.

The right speaker or MC doesn’t just fill a time slot within the event program. They absolutely set the tone. They shape the energy in the room. They reinforce your message and ensure your audience feels seen, understood and inspired. That’s why the selection process for your event MC and speakers matters.

It’s about alignment – not popularity !

A big name doesn’t automatically equal impact. The most important question isn’t “who is well know?” It’s actually “Who is right for this event audience, this event moment and this event objective?”

An experience speaker bureau takes the time to understand your audience demographics, business context and event goals. They will recomend talent who can tailor their message accordingly, not just deliver a polished keynote they’ve used 50 times before.

The exact same applies to your MC. A strong MC keeps energy high, sessions tight and transitions smooth. They read the room. They recover quickly if something runs overtime or not as planned. They hold the narrative thread accross the entire program. That is not something you want to leave to chance.

Why booking direct is not your best plan

It can be tempting to approach talent directly yourself. On the surface, this may seem simplier. BUT what happens is flights are cancelled or delayed? If your speaker falls ill the night before your event? If contractual expectations are not met?

A reputable and experienced event agency, speaker bureau or event management company has all the contingency plans (and back up talent on speed dial!). They advocate on your behalf, manage the contracts, clarify deliverables and protect your interests at every step.

You are not just booking a speaker – you are securing professional representation and risk management

Experience counts !

When you work with an experienced event agency that partners with respected and experienced speaker bureaus, you gain much more than just a name on a run sheet, you gain;

– Objective advice
– Honest feedback on suitability
– Contract and fee transparency
– Alignment with your broader event strategy
– A safety net if something unexpected occurs (because in events, something unexpected will usually happen)

The right speaker and/or MC can elevate your event from informative to unforgettable. The wrong one can easily undo months if not years of careful planning in just 30 minutes or less.

Choose wisely. Choose strategically

and always work with professionals who know the landscape, have demonstrated experience in event speaker/MC selection and have all the right people on speed dial when it matters most

Safe Events Don’t Happen By Accident

Safe events don’t just happen. They’re carefully and thoughtfully planned

From a small executive meeting through to a multi day conference, gala dinner, study tour or incentive travel program, every event carries some level of risk. Most of it sits quietly in the background until something goes wrong. As the hosting organisation, the responsibility ultimatley sits with you. Compliance with workplace laws and regulations isn’t optional and neither is your duty of care to every person on site. That includes your guests, staff, speakers, volunteers and suppliers

But..

Health and safety at events isn’t just about avoiding the obvious hazards like someone tripping over an extension lead or a poorly placed stage step. It’s also about crowd flow, emergency procedures, contractor compliance, food safety, fatigue management for staff working long hours and even psychosocial considerations, ensuring all event related environments feel safe, inclusive and respectful for everyone attending, amongst other considerations

Good planning is what keeps risk from becoming reality. This means completing thorough risk assessments, identifying potential issues before they arise, implementing controls to minimise them and clearly communicating responsibilities to all stakeholders. It means knowing what permits are required, understanding venue safety protocols, confirming supplier insurances and having contingency plans ready if weather, technology or logistics don’t go to plan.

When events are managed properly, guests never see the layers of planning behind the scenes. They simply experience a seamless, professional occasion and that’s always the goal.

Working closely with an experienced event agency ensures risk management is embedded into every stage of planning, not treated as an afterthough. Experienced professionals understand that legislation, the practical realities on site and the questions you didn’t know you needed to ask.

Because at the end of the day, a successful event isn’t just one that looks good and delivers result, it’s one where everyone returns home safely.

If you’re planning your next meeting, conference, leadership retreat or incentive program and want confidence that health and safety has been adequatley considered, be sure to partner with an experienced event agency who treats it as a priority, not a check box

Why Choice Matters in Incentive Travel

It’s one of the biggest (and trickiest) questions when designing an incentive program.
Can you really please everyone?

Whether you’re rewarding a small leadership group or a large national sales team, deciding where to allocate the budget can be a balancing act. Attendees can often different age groups, background and personalities, so what feels like a dream experience for one person might be someone else’s idea of hard work

Some guests love slowing down and immersing themselves in local culture, wandering through museums of soaking up nature, discovering hidden cafes or soaking up the atmosphere of a new destination. Others want energy, adrenaline and exciting stories to take home of fast cars, helicopter rides, mountain biking or anything that gets the heart rate up

So how do you cater to all of that without blowing the budget or overcomplicating the program?

In our experience, the answer lies in CHOICE

Offering a curated selection of optional tours, activities and experiences, allows guests to shape their own day time experience in a way that suits their personal preference. It gives guests a sense of control and ownership over part of the trip, rather than feeling locked in to a one-size-fits-all itinerary.

Then instead of trying to please everyone, all of the time, you can focus the main investment on what truly brings a group together, exceptional shared moments. Think quality food, beverage and entertainment, an enticing and warm welcome function or an impressive gala dinner. These shared experiences are powerful connector and often become the moments guests talk about long after the trip is over

When people feel they’ve had the freedom to choose during the day, they are far more engaged and present when they come together in the evning.

Our Managing Director Anthony still remembers a particular incentive trip to Cuba, where guests could opt in to different daytime activities, one of which was an unforgettable classic car tour through Havana before reconnecting over a fantastic dinner and shared event. It worked so well because everyone felt considered while still being part of the overall group experience.

We saw the same philosophy come to life during a recent Mediterranean incentive travel program for over 150 guests and their chosen plus ones. Luxury cruising through Spain, Tunisia, Malta, Italy and Greece. The program offered guests the excitement of waking up to a new destination each day while having the freedom to explore at their own pace through a wide range of day time options or self managed time.

Many guests embraced active adventures including cycling through Mallorca or swimming at Crete while others chosen leisurly wine tastings, beach clubs or simply taking in the stunning scenery. Every element was designed to allow guests to create their own personal highlights while still sharing in the excitement of the overall journey.

The magic came from balancing that personal freedom with exceptional shared experiences. From a spectacular waterfront dinner at Malta’s historic Saluting Battery to evenings on board enjoying world class dining, entertainment and the anticipation discovering the next days destination.

Because when a program offers choice by day and connection by night, it always delivers something for everyone.

If you’re planning an incentive trip and want to create an experience that genuinely resonates across your team without loosing cohesion or impact, we’d love to support. Designing Event Experiences Through Food

How much thought have you really put into your event catering?

Food is sometimes treated as a box to tick but the reality is, event catering can make or break the overall guest experience.

The quality, timing and suitability of food and beverages have a huge impact on how guests feel, how long they stay engaged and how they remember your event. It’s not just about feeding people, it’s about fuelling them, inspiring them and ensuring they walk away energised not counting down the minutes until a 3pm slump or a Maccas run on the trip home (ouch).

From gala dinners to full day conferences, every event deserves a tailored catering approach. What works for an awards night won’t necessarily work for a leadership forum or incentive activity day. Well considered catering keeps guests focused, engaged and comfortable throughout the day . Think afternoon tea that energises rather than sends guests into a sugar crash, with fresh fruit, protein rich snacks, nourishing options and smart beverage choices.

Food has the power to transport guests. Great catering doesn’t just satisfy an appetite, it can create a sense of place and culture.

Creating a destination through cuisine

Food is one of the most powerful ways to bring a destination to life. Whether your event is being held internationally or here in Australia, incorporating authentic culinary influences creates a stronger connection between guests and the overall experience.

A destination inspired menu, authentic ingredients or interactive cultural food experiences allow guests to explore somewhere new through taste, aroma, sight. A taste of Rio, a journey of Asia or a celebration of Australia’s own indigenous heritage and incredible local produce can transform a meal in to a memorable experience. When food tells a story, it becomes more than catering, it becomes part of the memory the guests take home

Sustainability is no longer optional

Sustainable catering has shifted from a “nice to have” to a clear expectation from both businesses and attendees.

This means working with event caterers who actively minimise food waste through accurate portion planning, composting organic waste and donating surplus food where possible. Menus should prioritise seasonal, locally sourced ingredients, supported by reusable service ware and compostable disposables where single use is unavoidable. Energy efficient cooking methods and the removal of single use plastic water bottles (with refill stations provided instead) are also increasingly standard.

Not only does this reduce environmental impact, it aligns your event with the values of today’s guests and that really does matter.

Local ingredients, local impact

Showcasing local produce and working with local caterers adds another layer of meaning to your event. Supporting local suppliers and fair trade practices delivers direct economic benefit to the community while immersing guests in the destination and its culinary identity.

Seasonal menus, plant based options and thoughtful sourcing don’t just taste better.  They tell a story, enhance wellbeing and leave a lighter footprint on our environment

Dietary inclusions really do matter

Dietary requirements are no longer the exception they’re the norm. From low-FODMAP to vegan, dairy free to serious allergies, it’s essential to gather clear dietary information during registration and understand whether requirements are allergies or preferences.

This detail allows caterers to plan properly and ensures every guest feels considered and included. Inclusivity extends beyond the event program and venue it absolutely includes the catering. The same applies to beverages. Offering interesting, high quality non alcoholic options wherever alcohol is served is now an expectation, not a bonus.

Food delivery style, where form meets function

How food is served is just as important as what’s on the menu.

Is a grab and go lunch box right for your audience or would interactive food stations create better flow, choice and connection during a conference break? Are five hours of evening networking really supported by a handful of canapés?

Quantity, timing and service style must align with event duration, guest numbers and movement. Large buffets may require double sided or mirrored stations. Tray served canapés need appropriate staffing levels particularly in that first high demand hour. These details are where event planning experience truly shows.

Strategic collaborations elevate the experience

Partnering with a celebrity Chef or culinary ambassador can take an event from memorable to genuinely unforgettable. A curated menu, live cooking demonstration or keynote moment before dinner can add star power and create powerful storytelling opportunities through food.

The key is choosing the right fit. Does this person resonate with your audience? Do they align with your brand and event objectives? When done well, these collaborations create meaningful moments, but they do require expert talent sourcing, negotiation and management to execute seamlessly.

Bringing it all together

These are just some of the critical considerations when planning event catering and they are often the difference between a good event and a great one.

At Incentive Action, we bring strong experience in designing catering strategies that enhance guest experience for all business events, align with event objectives and reflect your brand values. We work alongside trusted, high quality catering partners to ensure every detail is thoughtfully considered and flawlessly delivered.

If you’re planning an event and want catering that truly works for your guests, your goals and your reputation we’d love to support.

Entertainment: More Important Than Just Filling the Agenda

When planning an event, no matter the occasion, entertainment is sometimes one of the last elements considered. Yet it can be one of the most powerful elements for influencing the energy, engagement and overall guest experience.

The right entertainment sets the tone. It creates anticipation, sparks conversation and helps shape how attendees remember an event long after it has finished.

For a multi day conference, that might mean an energetic opening act that builds excitement and gets delegates engaged from the moment they walk into the room. For a gala dinner or celebration event, it could be colourful performers, interactive entertainment or a live band that gets people on their feet and creates a shared sense of fun.

The key is ensuring the entertainment aligns with the objective of the event and the audience in the room. Entertainment should feel purposeful, not simply something included to fill a gap in the program.

Not every event requires high energy entertainment. For cocktail functions and networking events, the objective is often quite different. The focus should be on creating an atmosphere that encourages conversation and connection, rather than competing with it. Live acoustic music, a jazz trio or carefully curated background music can help create warmth and ambience without overpowering the room. One of the most common mistakes is selecting entertainment that is simply too loud or intrusive, making it difficult for guests to engage in meaningful conversations. When networking is the goal, the best entertainment often enhances the environment while allowing relationships and conversations to remain the focus.

One element that can have an even greater impact is incorporating local culture. Whether you’re hosting an event within Australia or on the other side of the world, embracing the destination through entertainment can create a deeper connection and a more memorable experience for guests.

We recently delivered a six day incentive program in Rio de Janeiro, where entertainment became an integral part of the guest experience. Brazilian music, vibrant costumes, energetic dance performances and the unmistakable rhythm and colour of Rio were woven throughout the program. Weeks later, guests are still talking enthusiastically about those moments.

Great entertainment doesn’t just entertain. It creates emotion, brings people together and helps tell the story of the destination, the event and the brand behind it.

When chosen well, it can completely transform the atmosphere in the room. The message is simple: choose wisely and work with professionals who understand not only the entertainment itself, but also the role it plays in achieving your event objectives.

IRL or Virtual? Why face to face still matters

In my view, nothing replaces face to face connection

No phone call, video meeting, email or text delivers the same outcome when it comes to meetings and events, no matter the topic or occasion. Humans are wired for in person connection and even as the way we work has changed, mostly since 2020, that part of ourselves has not.

Bringing people together matters more now than it ever did in the past, particularly in an age of remote work. Being able to look someone in the eye during a tough conversation, offer support when it’s needed, or simply sharing a laugh can completely change the dynamic.

Even if only slightly, a screen always gets in the way. Because shared, live experiences build stronger relationships, influence collaboration and create connections that last well beyond the event itself.

Virtual platforms absolutely have their place. They have made communication faster, more flexible and more accessible across time zones and teams but they tend to focus on efficiency rather than connection.

An in person event does something different. It creates space for the conversations that weren’t scheduled. The ideas that emerge between sessions. The introductions that lead to new partnerships. The moments where people relax, engage and genuinely connect.

These are the moments that build culture, strengthen trust and reinforce relationships in a way that a digital meeting simply cannot replicate.

For businesses, this matters. When people feel connected, they collaborate more effectively, communicate more openly and return to their roles with renewed energy and alignment.

This is why meetings, conferences and incentive programs remain such powerful tools. They bring teams together with purpose, creating shared experiences that leave a lasting impact long after everyone has returned home.

Technology will always play a role in how we communicate however when the goal is to inspire, reward, align or truly connect people, nothing replaces being in the same room.

That’s why getting people back together, face to face, still delivers the greatest return.

The Benefits of Having an Incentive Program

Have you ever noticed a dip in engagement across your workplace?

Less motivated team members don’t just affect morale they affect productivity, performance and ultimately business growth. When energy drops, results usually follow and that’s often the moment leaders start asking: How do we re-engage our people?

One powerful answer is an effective incentive program.

An incentive program isn’t simply about rewards. It’s about creating focus, recognising performance and giving your team something meaningful to strive for. When designed well, it aligns individual effort with broader business objectives and that’s where the real impact happens.

So, does it actually work?

The data suggests it does.

Research shows that well designed incentive programs can meaningfully improve workplace performance. According to an analysis of existing studies reviewed in Incentives, Motivation and Workplace Performance: Research and Best Practices, incentive systems when properly selected, implemented and monitored, have been found to boost performance, with team based incentives increasing performance by up to 44 % and individual incentives showing improvements in the mid 20 % range

A range of employee surveys indicate that a large majority of workers feel more motivated when performance bonuses or other incentive linked rewards are offered, suggesting that incentives can also strengthen engagement and interest in work

Beyond performance metrics, the business case becomes even stronger. Organisations that implement structured incentive programs often see significantly greater annual revenue growth compared to those that don’t. Professionals who feel valued and satisfied with their rewards and recognition are also more than twice as likely to feel positive about their roles overall.

But the benefits go beyond numbers.

A well-structured incentive program can:

  • Drive alignment with key business goals
  • Lift the overall quality of work
  • Increase morale and healthy competition
  • Strengthen company culture
  • Improve retention and reduce recruitment costs

At its core, an incentive program sends a clear message: performance is seen, valued and rewarded.

And in today’s workplace, recognition matters more than ever.

With many businesses now planning budgets for 2026/2027 financial year, this is the ideal time to consider where strategic investment can create the greatest return.

Building an incentive program in to next FY can help ensure your team is motivated to achieve the goals that matter the most to your business. Whether that’s growth in people, increased sales, stronger retention or recognising and rewarding outstanding performance.

As a leader, ask yourself – do you want a team that simply meets expectations, or one that is energised, focused and striving to exceed them?

The right incentive program can help you build exactly that.
